We looked at every CRM. Then we built the one we wanted.
HAYLO started with research, not code: every major recruitment CRM, taken apart screen by screen, to find out why teams still end up in spreadsheets.
Why it exists
Walk into most recruitment and consulting firms and you will find the same set-up. An ATS for candidates and jobs. A spreadsheet for contractors and weekly GP. Another for commission, worked out by hand at month end. Another for targets. And Outlook, on its own, holding the meetings and emails that never make it back to the CRM.
The CRMs built for the industry don't fix it. They are cluttered, slow, and need a training course before anyone is productive. So people work around them, and the numbers the director cares about live in spreadsheets nobody fully trusts.
One question drove all of it: why does anyone still need a spreadsheet?
Every design choice in HAYLO comes back to that. The deal form fills from the opportunity. The project fills from the deal form. The KPIs fill from the real work: calls, emails, meetings, CVs and stage moves. And the director sees GP, billings and commission live, without opening a spreadsheet.
How it was built
We started by studying the market. Every major CRM sold to recruitment, staffing and consulting firms: how many clicks a common job takes, where the numbers come from, and why directors still don't trust them. The same problems came up again and again.
- We studied every major CRM
Counted the clicks for the jobs people do fifty times a day. Logging a call, moving a candidate, approving a deal. Most took five or more.
- We set one rule: one or two taps
Every common job in one or two taps, and anything reachable from anywhere in the platform. Search, ping a colleague or add a contact from any screen, without losing your place.
- We made the numbers fill themselves
Calls, emails, meetings, CVs and stage moves feed the KPIs, GP and commission. Nobody types a number twice, and every number shows the work behind it.
- We built it for the whole firm
Recruiters, sales, finance, project managers and directors, each with their own home screen, their own tour, and only the figures their role should see.
Six rules every screen follows.
One or two taps
Every common job, from logging a call to approving a deal form, takes one or two taps. We count them on every screen.
Enter it once
Nobody types a number twice. What you enter in one place fills every other place it belongs.
Every number explains itself
Tap any KPI and see every item behind it, with when, who and where it came from.
Show both sides
"Up £1,250 from £17,390", never a bare percentage. Real dates, not "soon".
Money stays private
Fees and margins are for finance and directors. The database enforces it, not a setting someone can forget.
Nobody approves their own pay
Two approvals from two different people, never the sender. Finance pays commission, never the person being paid.
